Record Retention and Destruction

How long TRUETH intends to keep different kinds of records, and how they are securely destroyed when no longer needed.

This policy is written and in effect as TRUETH practice. Formal board adoption and counsel review are in progress.

This page describes our general approach to keeping and disposing of records, including program, financial, and donor records.

General approach

  • Records are kept only as long as reasonably needed for program continuity, legal, or tax purposes.
  • Financial and tax-related records are generally kept longer than routine correspondence, consistent with standard nonprofit recordkeeping practice.
  • Records containing personal information about a child or donor are securely deleted or destroyed once they are no longer needed and no legal requirement to retain them applies.

Requesting deletion

A parent, guardian, or donor can ask us to delete their information; see our Privacy Policy and Donor Privacy policy for how to make that request.

Status

TRUETH intends to formally adopt a detailed record retention schedule, specifying exact retention periods by record type, as part of its governance documents. That schedule is still being finalized; this page describes our general approach until it is.
